TERMS AND CONDITIONS
We at Trekker Vans strive to make the renting process easy for you to understand. If you still have questions, we welcome your phone calls or emails and we’ll get back to you right away.
1) Damage to the Campervan
Comprehensive and Collision Insurance is required for our rentals. We offer affordable insurance that is available as an option during the checkout process if your current provider does not cover rentals or if you are visiting from outside of the United States. If you are resident in the US and do not purchase our insurance we will provide you with a “Binder Request” that you then forward to your insurance company to verify that you are covered while renting a Trekker Van.
2) Liability Insurance
This is to protect you against 3rd party claims if you injure a person or damage someone else’s property. Where state law requires the Vehicle owner to provide auto liability insurance, we shall provide auto liability insurance (the “Liability Policy”) that is secondary to any other valid and collectible insurance whether primary, secondary, excess or contingent.
U.S. and CANADIAN Residents: If you are a U.S. or Canadian resident with a valid driver license from either country, and you have automobile insurance or Credit Card insurance that provides full coverage for rental vehicles (including minivans), you may not have coverage for our Campervans as they may be considered conversion or recreational vehicles. Please check with your insurance company prior to pickup of the Campervan. If you are not insured, your credit card will be charged for the cost of all damages at return, and you will need to make a claim through your own insurance company for reimbursement. Please supply us with your insurance information at the time of Campervan pickup.
IMPORTANT: By submitting a booking request, this does not mean your booking is confirmed even if our online system shows availability. Once Trekker Vans confirms your booking request, we will collect a Reservation Deposit (20% of the reservation or $250, whichever is greater) from you and then send you full booking confirmation information.
Minimum Age to Rent: 21 years old with proof of a valid Driver License and capable of vehicle operation at the sole discretion of Trekker Vans.
Reservations: 20% of the reservation or $250 USD, whichever is greater, is required at the time of reservation. Once this deposit is received, the reservation will be confirmed. Full payment for the rental fee and any additional equipment or add-ons is then required two weeks prior to pickup of the Campervan.
Security Deposit: Two days before your pickup date, you’ll be automatically charged a Security Deposit of $1,000. The security deposit, minus any additional fees incurred during your rental, will be returned to you by credit card 7 days after the Campervan has been returned, and the reservation is complete.
Rates Calculation: Rates are calculated per day. When a rental crosses into another season, the rate will split to adjust for the new season rate. This will be highlighted when you receive an online quote.
Payments: Payment must be made in U.S. Dollars in cash, American Express, MasterCard or Visa. There are no credit card charges.
Cancellations: A full refund, minus the Reservation Deposit (20% of the reservation or $250, whichever is greater), will be given on cancellations with a minimum of 30 days notice. Cancellations within 14 to 30 days prior to pickup date, a 50% refund will be given, minus service fees. Cancellations within 14 days of your pickup date, the reservation is non-refundable. If there is a “no show” on the day of the pickup, we will keep the full amount of the rental.
Accessories: Failure of Trekker Vans to provide reserved accessories does not allow the cancellation terms to be null and void. Trekker Vans will reimburse the renter the cost of the accessories in this case. Accessories ordered cannot be canceled on the day of pickup and must be paid for.
Booking Amendments: It is possible to extend your rental without incurring a fee pending availability. It is possible to shorten your rental up to 21 days before pickup. Shortening a rental will be quoted as a new rental and will be subject to availability and calculated at the retail rate with any current specials not applicable.
Driver License/Proof of Identification: All drivers must hold a valid Driver License for the entire rental period, plus have a major credit card. Only drivers specified on the contract are allowed to drive Trekker Vans vehicles.
Insurance-Exclusions: The renter is fully liable for any damage to the Trekker Vans vehicles or 3rd party property if:
- The terms of the rental contract are breached.
- The driver does not hold an appropriate Driver License.
- Damage to the Campervan is caused by careless, willful or reckless driving.
- Driving under the influence of alcohol or drugs.
- Driving on unimproved or restricted roads or restricted areas.
- Water submersion or salt water damage occurs.
Vehicle Pickup and Dropoff: Vehicles are available for pickup Monday through Saturday between 9:30 am and 4:30 pm local time and must be returned by 11 am on the agreed drop-off date. A full-day rental charge will be applied once the vehicle is more than 1 hour late. No refunds will be granted for shortened rentals. There are no refunds for late pick-up or early return of vehicles.
Minimum and Maximum Rental Period: There is a 3-day minimum rental period. There is no maximum number of days you can rent. The longer you rent for, the cheaper it gets. The discount is built into the quote automatically.
Mileage: You have 3 options when you book your trip, all averaged over the course of your trip.
1) Standard mileage fee is 25 cents per mile.
2) Purchase an additional 100 miles/night for $18/night.
3) Purchase Unlimited miles for only $35/night.
Road Restrictions: Driving on unpaved roads (excluding county and state maintained roads), dirt roads, restricted areas and ‘off road’ areas is not allowed. Renter is liable for all damages to vehicle, tires, towing charges and other expenses as a result of a breakdown, collision, or other, associated with operating Trekker Vans vehicles in these areas. Trekker Vans’ insurance protection will also be null and void.
Burning Man: Unfortunately we do not allow our vans to be taken to the Burning Man Festival. We appreciate and respect the art and innovation that accompanies The Burning Man Festival and the greater “Burner” culture in the San Francisco Bay Area, but our vans are like family and the playa dust is simply too destructive to unleash on our babies! Also, please do not attempt to sneak our vans out to The Burning Man Festival because we will be forced to charge an appropriate cleaning and maintenance fee to bring them back up to the Trekker Vans standard of excellence. We’ve spent months in the desert both here and abroad, and we love the natural beauty that goes with it, but we also know all too well what it does to a van. Thank you for understanding.
The following are restricted areas:
- The Burning Man Festival
- Anywhere in Mexico, Baja California and Alaska
- Any unimproved road, trail, track (excluding county and state maintained road)
- Any off-road areas (dunes, salt plains, beaches, riverbeds, logging roads, forest trails, dirt trails, etc.)
- There is absolutely no smoking in the vehicles.
- No pets are allowed in the vehicles (except documented Service Dogs). Please call for more information. Please note that a $500 detailing fee will be charged in the case that evidence of animals is found in the vans. This is to maintain our vans for our allergy-sensitive customers and to uphold the cleanliness standards we strive to provide our customers.
- All passengers must use seat belts while the vehicle is in motion.
- We do not accept any liability for any injuries incurred to passengers traveling in the back of the vehicle and/or while not using seat belts.
